One app instead of Todoist + Notion

If you run tasks in Todoist, notes in Notion and the day in a calendar, Needt puts all three in one place, schedules the tasks for you, and imports both exports in Settings → Data → Import & export.

Who the stack is great for

Todoist is a polished, fast to-do list with a generous free plan. Notion is one of the most flexible tools for docs and databases. If you enjoy building your own system, and you share a Notion workspace with a team, the stack is powerful and each tool is best in class at its job.

Where the stack wins:

  • Notion's depth for wikis, team databases and shared pages.
  • Todoist's capture speed and mature native apps.
  • Hosted MCP on both sides for assistant workflows.

Where people get stuck

Three apps means three places to look. The task is in Todoist, the brief is in Notion, the meeting is in the calendar. Each morning you assemble the day by hand.

Todoist does not auto-schedule. Notion Calendar shows Notion database dates next to events but does not place tasks into free time. And the paid tiers stack: Todoist Pro at $5 a month plus Notion Plus at $10 a month, both on yearly billing, is $180 a year. Full Notion AI needs Business at $20.

How Needt differs

  1. Tasks, docs and calendar in one app. Link a doc to a project or task and it opens from the scheduled block.
  2. Tasks are scheduled for you. Estimates, deadlines, priority and energy decide the slot; the day rebuilds when meetings move.
  3. Import, not rebuild. Settings → Data → Import & export takes a Todoist export (CSV or backup) and a Notion export (Markdown and CSV). Titles, due dates, projects and notes come across.

An example day

Alex imports a Todoist backup with five projects: Clients, Website, Spanish, Shop, Home. The Notion export brings the website brief as a doc. Needt links the brief to rewrite pricing page, 90 min #Website and schedules it 13:00 to 14:30, after a noon call. At 13:00 Alex opens the block and the brief is right there.

Switching in an afternoon

  1. In Todoist, export a backup or CSV. In Notion, export your pages as Markdown and CSV.
  2. In Needt, open Settings → Data → Import & export and upload both. Check that projects and due dates look right.
  3. Connect your calendars, add estimates to this week's tasks, and run the scheduler.

Questions, answered.

What does Needt import from Todoist?

Task titles, due dates, projects and notes, from a Todoist CSV or backup file.

What does Needt import from Notion?

Pages from a Notion Markdown and CSV export, with titles, dates, projects and notes. Very complex databases may need a quick cleanup.

Can I keep Notion for my team and use Needt for myself?

Yes. Many people keep a shared Notion wiki and plan their own day in Needt. An assistant over MCP can move items between them.

Does Notion Calendar auto-schedule tasks?

Notion Calendar shows Notion database dates beside events and lets you drag them, but it does not place tasks into free time.

Is Needt's docs editor as powerful as Notion?

No. Needt docs have rich text, databases, folders, tags and search, built for planning. Notion goes much further for wikis.

Is my data stuck in Needt?

No. Export everything as JSON at any time.
