What the import does
Many people track tasks in a Notion database with a Date and a Status column. Notion is great for that table, but it won't plan your day. The import reads your export, turns database rows into Needt tasks and keeps their project. It's a one-time move, not a live sync. For pages like meeting notes, Needt has Docs with rich text and databases you can link to tasks.
Prepare your database first
Five minutes of cleanup in Notion saves an hour later. Filter out rows marked Done so you don't import finished work. Make sure the due date column is a Date property. If you track projects as a Select or a Relation, check the names match what you want in Needt (Clients, Website, Shop). And if one database mixes tasks with reference notes, export only the task view or move the notes elsewhere first.
Step 1: export from Notion
One database or page
- Open the database as a full page in Notion (desktop or web).
- Click ••• at the top right, then Export.
- Choose Markdown & CSV. Turn on Include subpages to keep the notes inside each task.
- Click Export. You get a ZIP with the CSV and Markdown files.

Whole workspace
Go to Settings → General → Export all workspace content and choose Markdown & CSV. Notion emails a download link that expires after 7 days. Pages you can't access, like others' private pages, aren't included. Source: Notion Help: workspace settings.
Step 2: import in Needt
- Open Settings → Data → Import & export and choose Notion.
- Upload the ZIP.
- Review the preview and import.
- Give the tasks you want scheduled an estimate, then run the scheduler.
What's kept and what isn't
| Notion data | In Needt | Notes |
|---|---|---|
| Row / page titles | Kept | Become task titles. |
| Date property | Kept as due date | |
| Project or relation | Kept as project | |
| Page content | Kept as notes | When you include subpages. |
| Comments, files and images | Not imported | Keep them in Notion or re-add. |
| Formulas, rollups, custom views | Not imported | Re-create views in Workspace. |
| Recurring setups | Check after import | Check recurring tasks after import. |
Example: a content tracker moves over
Alex's Notion “Content” database has 25 rows: video ideas with a Publish date and a Shop or Website tag. After import, each becomes a task in the matching project. Alex adds “script, 60 min” and “edit, 120 min” as subtasks to the next two videos, and Needt books the edit for Wednesday 09:00–11:00, before the Friday publish date. For the full setup see content calendar workflow.
Limits by plan
Import works on every plan. Free auto-schedules 15 tasks per month; Pro is unlimited. Docs, boards and views are on all plans, with Free limited to 1 board. See pricing.
Troubleshooting
- No Export option in Notion. A workspace or teamspace owner may have disabled export. Guests need full access to the page.
- Tasks have no dates. Needt reads the database's date property. Make sure the column is a Date type, not text.
- Notes are empty. Re-export with Include subpages turned on.
- Download link expired. Workspace export links last 7 days. Start a new export.
