Who Akiflow is great for

Akiflow is for people whose tasks arrive from many places at once. Its universal inbox collects them, and you drag them onto the calendar as time blocks. If capture is your main problem, Akiflow is strong.

Where Akiflow wins:

  • The universal inbox. One queue for tasks from your tools.
  • Keyboard-first time-blocking. If you like placing every block yourself, it is fast.
  • Aki and an MCP connector for working with an assistant.

Where people get stuck

The common reason to look elsewhere is cost before commitment. There is no free plan. The 7-day trial needs a card. After that it is $34 a month, or $19 a month billed yearly: $228 a year.

The second is that time-blocking stays manual. A clean inbox still leaves you deciding where each task goes, and re-deciding when a meeting lands on top of a block.

A typical case: you block 14:00 to 15:30 for a report, then a client books 14:30. Now you move the report, which bumps the 15:30 block, which bumps the gym. Three manual moves for one new meeting. That chain is what auto-scheduling removes.

How Needt differs

  1. Tasks place themselves. Give a task an estimate and Needt finds a slot around meetings, before the deadline, at the right energy level.
  2. Capture by typing naturally. call accountant, 20 min, by Tuesday #Home becomes a task with estimate, deadline and project. Emails from Gmail, Outlook or IMAP become suggested tasks.
  3. A plan with context. Docs and Boards sit next to the calendar, so the brief or moodboard is one click from the block.

An example day

Alex has 14 tasks in the inbox and four meetings. Instead of dragging, Alex runs the scheduler. Needt fits 7 tasks around the meetings, leaves tax receipts, 45 min, low energy #Home for 16:15, and keeps the rest for later in the week because their deadlines allow it. When a 15:00 call runs to 15:40, Needt moves the receipts to 16:45 and shows the change.
